Your Data & Privacy

We collect your name, email address, role, student ID, attendance records, support messages, profile photo, and device notification token. We only collect what is needed to run your college account.

Your data is used to sign you in, display your academic and attendance records, send college notices, process support requests, and allow administrators to manage accounts. It is never sold or shared with third parties.

Photos and files are only uploaded when you actively choose to — for example, when setting a profile picture or attaching a document to a support message. We do not access your camera or files without your action.

If you grant permission, your device token is stored so the college can send you notices and updates. You can withdraw this permission at any time from your device settings.

All data is transmitted over HTTPS. Passwords are hashed using bcrypt and never stored in plain text. Authentication tokens are stored securely on your device using encrypted storage.

Your data is only accessible to authorised Stratford College staff. We do not sell, rent, or share your personal information with any third party for marketing or commercial purposes.

Your data is retained for as long as your account is active. If your account is deleted, your personal data is removed from our systems within a reasonable period following admin review.

You can request account deletion from the Profile section of the app. Requests are reviewed by an administrator before your account and associated data are permanently removed.

This app is intended for use by college students and staff aged 16 and above. We do not knowingly collect data from children under 16.

We may update this policy from time to time. Any significant changes will be communicated through the app or via email. Continued use of the app after changes means you accept the updated policy.
